1. Getting started
Our web design process is easy.
1. Award the project to us.
2. Fill out our creative brief.
3. Review and suggest changes on the design.
4. Approve your project.
Ok, we have to admit it, we like doing things the right way. When you decide to start the website design with us, we will send you a link to our creative brief. Please take all the necessary time to fill this form out. If we are going to be spending days, weeks (and for larger projects, months) creating the perfect website for you, we want to know as much information as possible. Use this form to provide direction and all the information that you consider important for this project. Depending on all the information and all the ideas expressed by you, we will create the initial website concepts.
2. Turn Around Times
Due to the high level of custom work and the collaborative process involved building each website, it's difficult to predict an exact completion date. We will work together with you to complete the Web Design Project in a timely manner. We agree to work expeditiously to complete the Web Design and we will do our best to meet your deadlines, but delays can occur if any milestone that requires your action, such as reviewing/approving design mockups or web design changes, is not acknowledged on time.
Always remember, we can only work as fast as you allow us to. Turnaround time is mostly client-dependent. If content is provided in a timely manner, initial and on-going instructions are clear and revisions requested are reasonable, turnaround time can be significantly decreased. On the other hand, it could drastically increase due to client delay on providing clear and efficient communication, delayed mockup approvals, back and forth change requests, change of ideas, etc.
Time frame estimates are approximate only and are subject to change at any time at mesaportfolio-coms' discretion. Other reasons why delays on the project would occur would be the following:
There is a delay in processing the payments,
The client requests excessive changes in the design, structure, or content of the website,
The client purchases an additional feature to implement in the website,
There is a delay in the receipt of any materials from the client.
We need your support to finish the website in a timely manner. For this to happen, we expect you to give us all content on time and all milestones that require your action such as reviewing/approving design mockups or web design changes to be acknowledged on time.
3. Preparation Needed
In order for us to start with the design process, we require a down payment. Project work will begin immediately following the receipt of this initial payment.
We will also require for you to fill out our creative brief and provide all the necessary information that you consider important for your project. At this stage, we will also require all the content that you are planning on using for the home page of your website, including images, text, copy.
4. Creative Brief
No one enjoys filling out forms but for our project to be successful we need detailed information about your website vision. Please take all the necessary time to fill out the form and provide at least 3 samples of websites that you like or that are similar to the type of website (look and feel) that you are searching for. The idea here is not to copy the website designs that you provide as a reference, but to help us to identify the style, look and feel that you want on your website design.
Filling out the creative brief is an extremely important step for your website design and it will help us create the best image for your company. The online creative brief asks all the questions we need to know to begin developing a successful website for your business. We need to know what your business is all about, your target market (demographics), color preference (if any), your vision, and at least 3 sample websites with a similar look and feel of what you are looking for. At any time during this creative brief, if you are unsure of any question, simply give us a call.
Our team of professional web designers will review your creative brief information before starting the web design process. If we require further information or the creative brief is not filled out completely, we cannot start with the web design process and we will contact you as soon as possible. Once the creative brief is completed and we have all the necessary information, (images and text for the home page), we will start with the web design process. By making sure that the creative brief is filled out completely and accurately, we will have a better understanding of the expectations, the vision, and the true nature of your business.
Then, we will present you the initial home page layout within 1-3 business days. You will be notified through the Upwork message system or by email that the design has been completed and this message will include a link with the home page design for you to review.
5. Website Concepts
After we have received your creative brief, we'll develop some website concepts-ideas based on the information that you have provided, including appearance, future functionality and what the website will contain. Part of this process is checking out your competitors and other related websites which will help us to ensure that your new website exceeds everyone else.
The first original concept can take up to 3 business days after we have received all the elements that are going to be included on the home page design including the creative brief, text and images.
Once the website concepts are completed, we will send you a message through the Upwork message system or by email containing a link for you to review the website concept.
The website will be developed live on the back end of our site. We will send you a link so you can view the process from start to finish. We'll be consulting with you throughout the entire process so that by the end of our custom website design we have created something truly amazing. It is usually during this stage that our clients get very excited about just how great the website is going to look when it's all done. - To be honest with you - We get excited too.
Note: If you are not completely happy with the first design/layout, we will provide a new design free of charge.
6. Revision Process
Once you have received the initial website design concepts, please take some time to review and provide your feedback. Please be as detailed as possible. If you require revisions, simply let us know and we will take care of everything. We want your website to be simply amazing.
Feedback must be submitted in writing and posted on the Upwork workroom (For Upwork clients) or by email if we are coordinating the project directly. Please provide your feedback and be as clear as possible.
Once one of the website concepts has been chosen, all the necessary changes have been made, and you have approved the home page design we will continue with the inner page designs.
The revision process can take up to 3 business days depending on our work load and the amount of changes requested. We try to do our best to deliver the projects as quickly as possible, but please understand that we have other obligations with other clients as well.
Once the revisions have been completed, we will send you a message through the Upwork message system or by email containing a link. You will have the opportunity to request further revisions or approve and finalize the layout.
It is important to understand that we cannot make our project resources available to a project indefinitely as we have other obligations. If a project stalls or a client becomes unresponsive for more than 2 weeks (15 days), the project will become "inactive" and a re-engagement fee of $79 will be assessed upon re-initiating the project. If there is no meaningful activity for 1 month the project may be terminated without refund.
If you decide to re-initiate the project after the 30-day period, there will also be $79 monthly fee for us to keep the project active and our resources available to you. For example, if the project takes 2 full months to be completed an additional fee of $158 will be added to the remaining balance ($79 per month for us to keep the project active and our resources available to you).

7. Design approval
Once we have made all the necessary changes on the home page design and it is approved by you, we will start with the inner page designs. It is important to understand that we cannot start the inner page designs if the home page is not completed and approved by you. Also, if you require additional changes on the home page after the home page has been approved and we have already started on the inner page designs, this will incur an additional cost of $29 per hour. It is very time consuming for us to make changes after the designs are "coded" therefore if you have any changes please let us know before approving the designs. Thank you in advance for your understanding.
Once the home page design has been approved, we will require all the final content (images and text) that is going to be included on the rest of the website in order for us to start with the inner page designs. This is to avoid any excess of work, unnecessary changes and too much back and forth which becomes a more efficient process and provides high quality results for you.
Once you have approved all the designs including the home and inner pages, we will start with the implementation phase. Please keep in mind that any changes after the designs have been approved, will incur an additional cost of $29 per hour. It is very time consuming for us to make changes after the designs are "coded" therefore if you have any changes please let us know before approving the designs. Thank you again in advance for your understanding.
8. Website Implementation (coding)
Once you are completely satisfied with all the designs and they are approved, we will start with the implementation phase. It is extremely time consuming for us to make changes on a website design that is already on the developing phase. Please request all the necessary changes on the designs before the implementation process. Otherwise, any changes after this phase will incur additional costs based on our hourly rate of $29 per hour.
Note: Our proposal includes unlimited DESIGN revisions, although, please keep in mind that once you have approved the designs, that means that the designs are completed on our end. Any changes after the implementation has started will incur additional costs based on our hourly rates.
Once the implementation phase is completed and the website is "coded", we will upload the final website to one of our servers. We will test the website on the major web browsers including Internet Explorer, Safari, Mozilla and Google Chrome both on regular computers, tablets and mobile phones.
Then, we will send you a link for you to review the completed website. Once the website is approved and the remaining balance is received, we will upload the final website to your hosting account.
10. Uploading your website to your domain name
Once the website is approved and the remaining balance is received, we will upload the final website to your hosting account. We will require the following information:
- For standard html websites and html websites with CMS, we require the main hosting account FTP information.
- For Word Press websites, we require the c-panel details as well as the main FTP information in order for us to set up the database and upload the files.
- For Joomla websites, we require c-panel details as well as the main FTP information in order for us to set up the database and upload the files.
- For E-commerce websites, we require c-panel details as well as the main FTP information in order for us to set up the database and upload the files.
Please contact your hosting company to request this information.
11. Ownership and Rights
Mesaportfolio.com retains all the rights of all design concepts, media or other content generated during any time before the final approved project. Once you have requested the final files of your design, you reserve the right to coordinate with the copyright agencies to transfer the copyrights of design to your business name and complete the process. You hereby acknowledge that mesaportfolio.com shall have no obligation or duty to perform trademark, service mark or copyright searches or inquiries, in order to validate the propriety or legality of the Final Approved Product.
Mesaportfolio.com retains the rights to all artwork concepts and other content not selected by you.
